Being data-driven is challenging when you can't trust the validity of your data. At the start of any project, one of our top priorities is to align on definitions and communicate them clearly across all internal stakeholders. Establishing a shared understanding creates a level playing field, enabling us to accurately evaluate key metrics and KPIs (Key Performance Indicators).

Once definitions are established, we focus on ensuring that data is entered correctly and consistently formatted. Thankfully, there are many reliable tools available to simplify this process, and we take the extra step to verify that the data is being properly recorded. With these foundational elements in place, we can confidently begin analyzing key metrics and driving meaningful insights.

What are the key metrics to use?

The key metrics to track will vary depending on the type of organization and the goals you’re aiming to achieve.

 

For small businesses and startups, essential metrics often include revenue (such as Annual Recurring Revenue – ARR or total sales), lead statistics (like Marketing Qualified Leads – MQLs and Sales Qualified Leads – SQLs), Cost Per Lead (CPL), and Customer Acquisition Cost (CAC). It’s also important to monitor conversion rates throughout the sales funnel to identify areas for improvement. As the company grows and evolves, additional metrics will likely become relevant.

 

For nonprofits, the focus shifts slightly. While channel metrics such as email open rates, social media engagement, and website traffic remain important, revenue-based metrics are replaced by donation-focused KPIs—like donation rate and donor retention rate. Depending on the nature of the nonprofit, tracking service usage metrics may also be essential.

 

This isn’t meant to be an exhaustive list—every organization will have its own unique set of key metrics based on its structure, goals, and industry. The key is to identify what matters most to your organization and build from there. Why Do I Need Someone To Help Me Look At Metrics and Analytics?

 

Awhile back we were able to participate in a sales and marketing, and a presentation on metrics caught my attention. The marketing ops team was reporting some impressive numbers, and when they highlighted a major increase in leads from one particular channel, the room was buzzing with excitement. The management team immediately began discussing ways to increase investment in that channel.

Something about the numbers didn’t sit right with us, so we started asking questions. It turned out that the data was inaccurate—some leads had been mistakenly counted when they shouldn’t have been. They had nearly committed to increasing funding for a channel that wasn’t performing well at all.
